How to Add Users to Your Account and Set Location Access

Add users to your eCard Systems account, choose their role, and control which store locations each person can see. A step-by-step guide for account administrators.

This guide walks you through logging in to the eCard Systems reporting platform and adding new users to your account. As an administrator, you can create logins for your company and control exactly which store locations each person can see.

Getting Started

Log in to the reporting platform using your administrator credentials, then open the Settings menu. From here you can manage your account, merchant preferences, and users.

Note: After you create or update a user, it can take up to 5 minutes for the change to take effect.

My Account: Update your personal details and password.

Merchant: Set the time zone used for all your reporting.

Users: Add and manage the people who can log in to your reporting account.

Adding a New User

Step 1: Open the Users tab and select Create User

From Settings, select the Users tab, then click Create User to start adding a new team member.

Step 2: Enter the user's details

Fill in the new user's first name, last name, and email address. This is the email address they will use to log in.

Step 3: Choose a role

Select the role that matches what this person should be able to see:

Role options

Administrator: Can see all store locations and edit users.

IT User: Can see all store locations and make changes location settings.

Finance User: Can run reports in the platform.

Step 4: Set location access (Finance Users)

If you selected Finance User, choose whether this person should have access to all locations or only specific ones.

If you choose Specific locations, a list of your locations will appear. Check the box next to each location you want this user to be able to view, or use Select all to give them access to every location shown.

Step 5: Create the user

Once you've entered the user's details and set their location access, scroll to the bottom and select Create User to finish.

What Happens Next

The new user will receive an email inviting them to confirm their account and set up their own password. Once they click Confirm, they'll be taken to the platform to create a password.

After they set their password, the user will be able to log in and view transactions and liabilities for the location(s) you selected for them.

Note: If a new user doesn't receive their confirmation email, ask them to check their spam or junk folder before contacting support.
